*** Very long term project; initial PO for 1 year and can go up to  5 years+ *** Due to security/Export controls,  only US citizens or GC holders are eligible *** Candidate can join as contractor or full time employees with full benefits ***

Onsite work; no travel required; no remote work.

  • Ensures procedures, technical documents, calculations, drawings, and many other types of documents and records (from internal and external sources) are properly processed, accurate, timely and made available in appropriate project electronic document management systems, collaborative sites, or websites and distributed to identified personnel in support of activities.
  • Ensures documents and records meet criteria (format, identification, and approvals) specified by  prior to distribution. Coordinates with staff members to correct any documents and records not meeting requirements. 
  • Indexes and files records (hard copy and electronic) using electronic document management system(s), including the  Project and the Organization systems. 
  • Maintains current information in databases as needed, provides retrieval services from various systems, and maintains tracking or status of documents and records in process. 
  • Ensures quality of electronic documents and records by reviewing scanned and other electronic files for legibility and completeness. 
  • Provides support to management in the assembly of files of major meetings including retrieving, checking for updates, printing, organizing, labeling, and providing the associated electronic files, as requested.
  • Maintains a reference library of the major meeting inputs and related documentation. 
  • Works with staff (including partner lab staff members) to coordinate proper receipt and processing of  records. 
  • Handles sensitive information, such as proprietary and export control documentation, in accordance with regulations. 
  • Updates internal work instructions for document control activities, as requested.
  • Supports special projects as required by the Project, such as the preparation of special records for long-term storage, reorganization of electronic files in systems as needed, verification of records receipt and metadata accuracy, maintenance of special SharePoint collaborative sites, etc.
  • Provides training or assistance on document management system(s) and related processes on an as-needed basis 
  • Contributes to internal and external reports for document control and related activities, as requested. 
  • Communicates in an effective manner both orally and in writing


Required Skills

  • Associate Degree
  • Proficient with Microsoft programs (WORD, EXCEL, etc.) and experience with Adobe Acrobat Pro applications.
  • Candidate must be detailed oriented, with an aptitude for visually identifying information. Position requires a self-starter able to work independently and in a team. Candidate must be able to communicate well with staff and suppliers.
  • Candidate will produce texts, graphs, charts, tables, and contribute to internal and external reports to support special projects and management.
